Introduction to the Internship 08.10.15
Upon arriving at the Tiffin YMCA, I was met at the door by my internship supervisor, Deanna Smith. After meeting Deanna at the entrance, I was then introduced to the members of staff working within the Tiffin organisation. Deanna Smith then took me on a tour of the facility, explaining in depth the different departments of the company and their roles within the company.
After the tour of the facility, I was then taken into Deanna’s office to fill out files in regard to rules, regulations, and professional conduct. During this time, we spoke of jobs in regard to my area of studies, and opportunities to give back to the community within other projects. Deanna informed me that I would be working closely with a few members of staff within the company. Instead of focusing on one specific area within the company, I decided it would give me a better learning experience if I shadowed employees from different aspects or fields within the company.
This gave me the opportunity to set up work schedules with Jillian, who wants me to create a survey for the customers attending the YMCA, especially those who partake in the gym and fitness sessions. The survey will be used to give staff and employees honest feedback on the fitness sessions, and possible places for improvement. I was happy to do agree to this, as it would help me use my computer skills, which are more than likely going to be needed again in the future.
Another woman who I agreed a schedule with was called Kerrie. She was in charge of the Children’s department and the sports and recreational events happening outside of the YMCA. Kerrie gave me the opportunity to be involved with her flag football and soccer program which is run outside of school times with local children within the area. The first job Kerri wants me to do is to attend the staff meeting on Wednesday, which will give me chance to meet the coaches and other people involved in the program. Later this week, the pitches will have to be lined for both soccer and flag football. This is good for me, as I have heavy involvement within soccer. Lining fields is something I have done in the past, and will surely have to do again in the future
Getting Involved! 08.11.15
Today I worked with Deena and Amanda, who both had work for me in different areas of the company. My first job of the day was to work alongside Amanda organising the flag football and soccer scheme that will be running from next week. We copied and printed handouts and booklets which were put together for the coaches which will be taking the sessions for soccer. The packet included health and safety regulations, concussion information, and background checks for the members of staff who will be working with kids. I then put the children into teams, taking into thought the members of staff, age, and gender of the other members of the team. This is important; as you need to have a good mix of people and of ages, making sure you are not putting six year olds with 3 year old kids. Age and ability was also taken into context as this would also hold back some or give others room to excel in certain teams. A few of the kids in the groups had brothers and sisters, or cousins in the scheme, which made it easier for sorting, as we put them together to make it a less daunting experience of meeting new people and learning a difficult sport. Returning members of staff were given kids that had previously been in there groups, which made it easier for the staff and kids also.
My next job of the day was to continue a Microsoft excel project I started on Thursday. The project was basically information entry into the spreadsheet, which were such things as first name last name and school information given by the parents. This was done for food delivery which is run by Deena Smith. This was put into alphabetical order, and only contained information from children which attend TMS, Knoble, Krout, or Washington school. This job was good as it helped me work on my computer skills. Originally, I was putting the papers into alphabetical order then entering them into the computer. After doing some research, and messing around with excel for a while I figured a way to add the information in then put them into alphabetical order afterwards, which made it a less time consuming project.
Health tips 08.12.15
Today I was working alongside Jillian Shaferly, director of health living and membership. Today’s job criterion was to create two separate questionnaires. The first questionnaire I created was for feedback for the instructors of the fitness sessions held here at the Community YMCA. After doing some research, and looking at other questionnaires taken from different organizations, I finally came up with one of my own. Some of the questions I put in my questionnaire were personal to the instructors, such as communication skills, enthusiasm of the instructor, and whether or not the instructor met the needs of the clients. I found these questions to be the most important, as it give the instructor both positive and negative feedback which both can be used for improvements. I had to gather information regarding the instructors such as the names and the classes they teach here at the YMCA. The majority of my first survey was done with yes no questions, as this makes it easier on the clients taking the survey. Majority of people will not take a survey seriously if they think that it is too time consuming, or isn’t important. By keeping the survey to a maximum of seven questions ensures the clients do not look at it and think it’s too much writing or too much information to attain.
My second survey catered more to the classes itself instead of the instructors. This covered such questions as the type of class the clients attend, the day they attend, and the time. Unlike the first survey where I mainly did yes no questions, this survey had more explain sections where people could write their opinion on the questions giving me more feedback then just responses. This will give me a clear insight into what the clients think of the sessions, and what they would change. By asking what is the most and least enjoyable part of the class also gives me a positive and a negative which both can be used in a positive light. The positive can be used to improve on or continue doing, whereas the negative could be changed or slightly edited to improve the experience of the class.
Once all the surveys have been handed in and I have gathered all the information, I’m going to create some sort of a chart that shows the statistics I gained from the survey. This will help the staff to see what people think about the instructors and the classes, hopefully giving them new ways to improve and continue moving the company forward.
Painting Fields 08.13.15
As the kids flag football and soccer schemes are starting soon, my next project, and the few to follow later in the week were all focused around this. The first task Carrie Fox had me do was the setup of the flag football and soccer fields. Carrie and I drove to Ace hardware store, where we rented a paint marking machine, and bought numerous cans of white spray paint. Upon arriving at the area where we planned on painting the lines, the grass hadn’t been cut, which made our jobs slightly harder. We began by researching adequate lengths for kid’s soccer and flag football, ensuring we met the criteria for a regulation field. To measure the field, we had a tape measure and some string which was attached to a screw. We would first measure the correct amount of feet, or yards needed then we would line up the string alongside it making sure the lines are straight. Once are initial line was straight and the screw was holding the string into the ground, we began painting by pushing the machine slowly up the field making sure we stay in line with the string. We painted three pitches in total, two soccer fields and a flag football field. The flag football field was a lot harder to pain then the football one, as it had more lines and more yards to be covered. We made sure that our flag football pitch wasn’t too close to the other two pitches, and not too close to poles or the sidewalk, as this would be a health and safety hazard.
Ball pumping and excel work 08.17.15
My next project working with Carrie, involved putting the final pieces together for the flag football and soccer programs. This included pumping soccer balls for the training session which will be taken later that night, going through team files ensuring players are in the right teams and that parents receive information regarding t shirt deliveries and picture day. This information is important, and needs to be handed out early, as it gives parents time to organize their kids accordingly to pick up the t-shirts and to have them there on time for pictures. Pumping the balls and ensuring we have enough for the training session is always important, as preparation eliminates time wasting and problems at practice. For a session to run smoothly, balls have to be correctly pumped, and cones bibs and other equipment must be also accounted for and ready for use.A new project I have been working on is the gathering of information in regard to donations made to the YMCA. Past donations from the year of 2010 are entered into an excel sheet and contacted to see if they would like to make another donation this year. The excel sheet says the first name last name and other categories which help me gather information about the people donating. As there were a lot of donations in the previous few years, there was a lot of information to be added into the spreadsheet.
Excel is hard work 08.18.15
my next time at the YMCA was too continue my ongoing excel project. the day before, I collected data from 2010 which were donations and other information such as address, name, and amount. as the YMCA received a lot of money throughout previous years, their was a lot of documents and papers to sort through.
gathering this information is an important job, as it gives the company the opportunity to thank past donors for their help, and possibly persuade them to continue donating to the course. sending letters to the people who donated makes it feel personal, and builds a relationship with that person, ultimately leading to more donations in the future. this is evident as many of the names I saw on the 2011, and 2012 sheets had previously donated in 2010.

I continued my work with the excel spread sheet, as I have now finished years 10 and 11, and i'm currently making my way to the end of year 12.
as this project was very repetitive, I found a way to order the excel sheet so I didn't have to enter certain information such as the zip code or town if I knew that it was in Tiffin. Auto entry helped minimize the repetition and time consuming work, as I could just enter name and address and then the rest would fill itself. working with computers for a few years has given me this experience, where as if I didn't know how to use excel, I would have been manually entering the data and this would have taken a lot longer.
Packing and Stacking 08.20.15
my next project for Deena, involved working along side her with the food distributing company. as I earlier set up an excel spreadsheet, showing the children that warrant packed lunches, this information was now used for the distribution of the lunches. as the food comes in bulk and in boxes, my job was to organize them into containers which would be took into different schools. as their were a lot of boxes and not that many containers, I had to arranged them correctly to ensure that 8 lunches would fit into each container. This job was straight forward but challenging at the same time, as the boxes were heavy and the containers once full, were also hard to lift. I didn't mind doing this job, as it resembled a job I did when I was younger working for UK Mail. the job was very similar as I had to lift heavy boxes and pack things correctly within containers. My past experience made this a easy going task which I completed with no problems.

As the Tiffin YMCA is a branch business, and is linked with all the other YMCA companies across the country, their is a website which helps all employees and staff stay connected. My next project was to do some background research on the company, and see what people at other headquarters are doing well. I began by signing up for the website, which had to be confirmed and accepted by Jillian. Once I was logged in, I could access the website, and see what other branches are offering, which could potentially work well here at the Tiffin YMCA. this helps everyone have an understanding of what the other companies are doing, and gives a platform where employees can brainstorm and share ideas.
Database work 08.25.15
my next project I was starting at the YMCA was to go through the email database and make sure all the email addresses were correct.As this database contained email addresses of donors, members, and staff, it took me a long time to go through and make sure the emails were correct. Some of the email addressees were familiar to me, having done the food database project, and the donation excel spreadsheet. Majority of the mistakes in the database were misspelled words, or the .com missing at the end of email accounts. this wasn't a very challenging project, but it was time consuming.

My database project continued throughout this next day, as I didn't finish it after the first day. Once I began working through the database I got the hang of making quick changes, and began seeing the problems stand out as I knew what I was looking for. My other project for the day was to check the exchange website again, and see if their were any updates in regard to donations and other campaigns.

This saw the end of the database project, As I made it through the whole database and managed to clean up all the errors and mistakes within it. this was an important project because incorrect email addresses meant that donors and members would not be receiving the important information. For donors who would like to get feedback on there donations and here what difference they have made would not be able to receive this information and could lead to them not donating in the future.
Exchange Website 08.31.15
Today I continued my work within the Exchange website. The site links all YMCA workers together so they can borrow ideas from each other, evidently improving all aspects and branches of the company. today my job was to research and find new ideas how to raise money. I began by researching previous campaigns such as the Annual Campaign and the Nationwide campaign. The annual campaign is the basic campaign every year which has volunteers searching for donors to further the benefits of the YMCA.My research found fundamentals that influence the success of a campaign, such as dedicated volunteers, a committed CEO, and engaged Y members. all this information helps to improve the job that the Y is doing here in Tiffin. The nationwide campaign includes the GAP project, which is a project where the members express there appreciation to certain areas that the Y cover. this could be learning, healthy living, or hunger. the aim of the project is to promote what the Y is doing well, and shows that the members are achieving what they set out to achieve. This campaign also covers water safety and danger within communities, as this is very important as kids are often swimming unsupervised.
As a lot of the money in the Y comes from donations, it is important to make sure the donors are recognized and thanked for their donations and efforts. My task was to think of new or different ways to thank the donors which could possibly improve donor retention. the ideas I came up with were
1. Statistics that show donations have made a difference. (this proves that the money is going to the right places.)
2. Thank you letter written by kids. ( this is unique and shows gratitude from the ones benefiting from the donations)
3. Stories of how the YMCA has changed someone’s life for the better. ( this makes it personal, and also is proof that the Y is beneficial)
4. Create a short thank you video and email it to donors. (Possibly to higher end donors.) (it is easy to send to lots of people through email.
Office work 09.1.15
Today was a pretty straight forward day, I was doing day to day office work such as scanning, printing, and filing. the YMCA has a lot of files that need organizing, so their is always work to do in that aspect of the company. the filing was such information as current customers, and past customers information. my job was to create a system which keeps the old customers information in one place, and the new customers in another place. This is so the YMCA can send information to different customers regarding different things.

Deena gave me a new excel project which was very similar to the other one. My job was to check for mistakes in the emails, and to also add additional information which was missing. As the YMCA is a pretty big company, their were a lot of customers on these excel sheets and their were hundreds of names and addresses to sort.

As I continued with the excel spreadsheet, I began to get through a lot of it today. yesterday I found it more difficult because I had to put the papers in order before entering them into excel But now that all the papers are in order I can just read off the information and enter it into the computer. Today has been a lot easier then yesterday even though it is more or less the same work I am doing.
Food Service 09.7.15
Today I helped Deena again with the food deliveries. As the YMCA gets deliveries full of carts of food, I had to move the carts and stack them full of meal boxes. This was an easy enough job as it was more or less just moving things and stacking them into boxes. this took a few hours as they were a lot of meals and a lot of boxes. I didn't manage to finish all the boxes today so the rest will be finished tomorrow.

today I finished the job which I started yesterday. The remaining boxes were finished today and all the food was sent off to the correct schools. the final day of packaging was pretty difficult as I had to ensure the right amount of food boxes fit into the boxes and at times, it was a tight squeeze. as I did a similar job when I was back home, I found it pretty much straight forward but time consuming. I did not mind the job as it needed doing and it was a lot easier for me to do then for Deena.
Filing work 09.9.15
Today we began filing and sorting the stuff that was in a back office that needed clearing out. most of the files were not needed or were old information. As I did not know what was needed and what was not needed I had to have help with this project. a lot of the stuff in the folders were information that could be thrown away so majority of the job was a clean out job not a filing job. after this we cleared out majority of the things in the office, and threw out things that were no longer needed.
Carrie and Her soccer project 09.10.15
Carrie had began her soccer and flag football project, and she had already started the league. we organized teams files and folders that had not been done or had new players on the teams. we also repainted the bits of the pitch that we either did wrong or had gone when the grass had been cut. As we did not do much of a good job the first time, a chance to repaint the pitch would not be missed. We began on the small soccer fields first, painting both of the small ones then moved onto the big flag football pitch. once we got our measurements perfect for the big football pitch we managed to rescue the pitch and made it look professional.
Getting comfortable in the office 09.14.15
Today consisted of more office work. I do not mind doing office work, as it is a chance that I could end up doing a similar job in the future. This gave me experience on computer and filing. It also gave me experience in an office environment, having an office and working with people all day.Having an office is better then working from my laptop, as I can sit comfortably and organize my desk accordingly.

today I did research on new programmes and new ideas the YMCA could bring to Tiffin. I found a few ideas, soccer leagues basketball leagues, and other ideas. Steve crone told me that they organize a basketball league in spring and a soccer league which will be starting again soon. Deena gave me another food spreadsheet, with children from different schools who get the meal plans. I began this project again today and will finish it later in the week.

I continued the spreadsheet for Deena today, getting more or less half way through it. as Deena delivers to a lot of the schools in the Tiffin area, they're a lot of children on the excel form. Yesterday I sorted the papers into alphabetical order, order of schools, and grade. Today I entered the details into the spread sheet, and did other office work such as printing things for Deena. the spreadsheet should be finished by tomorrow and I look forward to what Deena has for me to do next.
Back in the Office 09.17.15
Today I was back in the office doing jobs for Deena and Carrie. Today they needed me to research what other YMCA companies are doing for fund raisers and fun activities. I found this pretty easy, as I have used the internet to find more or less everything whilst writing papers or doing presentations in college. I also did filing and printing today. The last bits of the excel sheet was finished today, and all the meal plans were organized successfully.

The surveys that I made for the health and fitness instructors were completed and returned to me, I've decided to collect all the data and create some sort of spreadsheet or diagram that shows the results of this. I'm going to research ways to do this, and other companies that have benefited from health and fitness feedback surveys. the rest of the day has been office work, Deena has files that need to be edited for new interns and workers who have to fill out this information when they are first hired.

I have decided to create a pie chart and a written assessment of what the survey has found. this shows the instructors exactly what the people think of there sessions, and what changes would be wanted. As I did lots of spreadsheets and pie charts when I was younger in school, it was pretty much straight forward for me to make another one here. My computer skills have helped me a lot in this internship as a lot of it has been computer based working and office jobs. the rest of the day was office work and filing.
Food Delivery 09.23.15
Another food delivery came in for the children's school, and this would be the project I would do for the next few days. Again, I organized the food boxes and organized how many have to go in each container. This delivery was as big as the last one, so I knew it would take me a while to complete this. I did this for a few hours and the rest of the day was office work.
Continuing the Job I started 09.24.15
Today I started in the office, writing emails, and contacting previous donors. this was important as previous donors need to be contacted to see if they will be donating again this year. The donors that have donated large amounts of money in the past were also very important, as it is essential to make them know that we are grateful for their previous donations and are enquiring to see if they are willing to donate again. the rest of the day I finished the meal boxes, this time I did 8 meal boxes in each box, this was to ensure the remaining boxes were filled and nothing was left.

Today I was back in the office, the box meals were all finished and sent out and their was nothing left to do in terms of food prep. the children's programme had some hand outs and laminate projects that needed printing and laminating. this was the first job I did today, cutting them into the right shapes and laminating them with the machine. As I had never used the laminating machine before, this was a new job for me, it was straight forward once I was shown and had done a few trial runs. the rest of the day I was at the computer sorting emails and contacting people.

Today we finished clearing out the back office. We managed to file everything that needed filing, and we threw out all the old things we didn't need, including papers and old furniture. This was an easy job as most of the things in the room were visibly not needed. this took a few hours but it was a good achievement to see the room tidy once we were finished.
Desk Work 09.30.15
Today was another basic day, not a lot was needed to be done, so I was at the desk majority of the day. once emails were sent. I spent a bit of time on the exchange website to see what was going on at other YMCA's and if anything new was happening. the excel site is good, as all of the branches can see what the other branches are doing and can borrow ideas from one another helping all the branches to improve and excel. the rest of the day was printing and copying stuff that was needed for people in the other offices.

Jillian had me working on a excel spreadsheet for her, as she has her own spreadsheet of customers and employees she needs to keep in contact with. This spreadsheet needed updating with new information, as some of the people have changed email addresses, moved houses, and left the YMCA. updating the spreadsheet makes it easier for Jillian to send the write information to the right people. as this spreadsheet has a lot of staff and employees on, their was a lot of information to sort through. I plan to start this project today and have it finished in a few days.

Today I started with filing and printing in the office, and finished the day with the excel spreadsheet. The spreadsheet is more or less finished, I have gone through majority of the inputs and have updated majority of the information. I have a less then a hundred people left to check through and edit so this should be wrapped up and finished by tomorrow.

The spreadsheet is finished and emailed back to Jillian, I found this pretty straight forward as I have been doing a lot of spreadsheets throughout this internship so I've come along way and progressed my skills during this internship. the rest of the day was spending time on exchange and contacting people in regard to sponsors and other programmes that the Y offer.

Another meal box prep came in today, And I began sorting the boxes with meals of 8 in each. I did this for a few hours and finished the rest of the day in the office on exchange and sending emails.

I started in the office today with Deena, she had me finishing a few simple projects for her such as printing things out she needed and laminating other things. the rest of the day I was stacking the meal boxes in the back, and organising them to be sent out the following day

The meal boxes are completed to day and ready to be shipped out, Carrie needed me today to re pump some of the balls, and replace the ones that had gone missing. the soccer programme is going well, and so is the football programme.

Today was a straight forward day, not a lot to do other then office work and run errands for Deena and Carrie. Majority of the day I spent on the computer writing out a new plan for fundraising and letters to send to past and future donators. the rest of the day was spent in the office sending emails and contacting people.

Another spreadsheet was giving to me from Deena, this was similar to the other ones I had previously done, and took up majority of my day. this spreadsheet should be complete in the next two days along with ideas of how to improve the soccer or football programme.

The soccer programme is going well, but they could be improvements according to Carrie. I researched other soccer programmes and looked at things I did when I was younger to try and help the programme excel. the rest of the day was spent at the desk filing and printing documents.

I brought together a plan on how to improve the soccer programme, and I put some of the ideas forward to Carrie. We sat down and spoke on ideas, and she was happy with some of the ideas I put forwarded. the rest of the day was spent finishing office work and doing jobs for Deena.

As majority of my internship has been day to day office work, I sat down with the CEO and came up with an idea that would benefit my internship more than office work. I liked the sound of this as it gave me chance to do something that will help me in the long term. I'm going to give it a long hard think about what I want to do and I'm going to let Steve know.

We decided on creating a soccer booklet that would contain a range of drills and games. As I have grown up playing and coaching soccer for years this is second nature to me. The ideology behind the booklet is to give coaches/ parents a basic guide on coaching, as majority of the coaches have no experience or are the parents of one of the children.
Starting the Booklet 10.29.15
I decided to create this as I felt it would help the YMCA kid’s soccer program and would also help me by getting more experience. I began doing research and contacting past coaches to find out what needs to be put into a basic soccer drill, and where is a good place to start. I spoke to one coach who advised me finding basic drills that helped me and he emailed me a few drills which I plan to put into my booklet.

I continued with my soccer booklet, doing research on the best drills and games for young soccer players. I began researching professional clubs youth teams and drills that they use to help their teams excel, I figured using some of the same drills or ideas behind it would give the booklet some professionalism. I had to take into consideration the age and ability of the teams, as many of the drills I had previously coached or done myself were for intermediate or high level teams. I have found my first 3 Drills and have begun finding diagrams and have written my own analysis on the drill with its benefits.

I have continued to research drills and have come up with 5 drills so far which i am going to use in my coaching booklet. The drills include a mixture of fun games and technical stuff, because it is important to keep the team engaged and interested. Too much structure and the kids will get bored, not enough structure and no one will be learning or progressing.

I am finalizing the drills I want in my booklet, I have changed my mind a few times and added more and deleted some. The drills have to be beneficial for the age group, so its important that I get the right mix I think I have finalized the drills I want and I will begin putting them together shortly.

I have found my 8 drills and I am finalising my analysis. The drills I have chosen are a good mix of technical, fun, and fitness type drills which will be very beneficial to the YM soccer program. I have decided to take it a step further and to video record myself with some volunteers doing the drills so the parents will receive a booklet and a video which will make it easier to see rather than to explain.

I have begun recording the drills and I will start editing the clips and putting them together to create one video. I have enjoyed this project so far; as it is something I can look back on in the future and say that I did it! I can put it on my resume as something that will stand out and is something unique. recording the drills have been the best part of the project, I was able to involve members of my soccer team to help with the project. They participated in the drills which made it easier for me to complete

I have asked a few friends to help me with the drills, and we have planned to record the first two drills today. the recording was more difficult then I expected, as I had to edit a few of the takes and make sure that you could hear and see everything properly. I decided to record the drills inside the Heminger centre as it is a new turf and would look professional in the video.

I have got copies of the first two drills and have started editing them on the computer, I am happy with the first two drills, and I plan on doing the other two drills next week. I managed to crop bits of the video I did not want, and got the video to start and stop at the right points.

Today we recorded the last two drills which were a passing drill and a dribbling drill, it was so beneficial for me to have my friends help me with this drill as it was people I know and they understood the importance of this internship. The drills went well, and I am going to check them out on the computer and edit them later

the last two drills went great and I have finished editing them. all four videos have been chopped and edited and I am nearly done with my soccer project. im going to send the videos to Steve Crone and let him see what he think before I finish everything

Some of the editing I did on drill two didn't work, so I have reached out to a friend who is good with computers and he has helped me. I wanted the video to start at a different time and to chop the seconds before it but the programme I was using didn't work for me, now he has sorted the videos are good.
Finishing up 11.26.15
I have finished the recording of the drills, and I am happy with the quality of footage I have. I have recorded the hardest drills, which will help the parents to grasp the drills and understand it more, instead of just reading the booklet or looking at the diagram. I am now cutting down the video recordings and using the bits that I need. This is more or less the end of my internship, as I have completed the required hours, but I still have the final bits of the project to finish.

I have finished the final bits to the project, which was putting it all together, and contacting Steve Crone to ensure he was happy with the content of the project. I have thoroughly enjoyed my internship as it gave me the opportunity to work on what was important to me and my progression in my career field. I have recieved feedback from Steve Crone, and he was very pleased with the project. Steve believes this project can be used for years to come and will be very beneficial for the soccer program at the Tififn YMCA.
